Data acquired via our website

This website is built with WordPress and hosted in highly secure, professionally managed UK data centres. WordPress plugins are used to assist with GDPR compliance.

No personally identifiable data is acquired or stored during the general use of this website.

User data can be submitted to us via the contact form which includes a clear ‘consent’ option. This information is sent by email directly to Arbor Vitae Arboriculture and will not be used for any purpose other than to communicate with you and to fulfil your request or enquiry.

User data can be collected indirectly via plugins and third party functionality used for visitor tracking and to maintain the security of our site:

We use Google Analytics visitor tracking combined with additional WordPress plugins to aggregate and anonymise user data, which means no personally identifiable information is collected or stored.

Google Analytics data we do collect includes how many people have visited our website, what type of technology they are using (e.g. Mac or Windows, which helps to identify when our site isn’t working as it should for particular technologies), how long they spend on the site, what page(s) they look at, approximate location (City) and where the visitor arrived from (e.g. referral or search engine). This helps us to continuously improve our website. These so called “analytics” programs also tell us, on an anonymous basis, how people reached this site (e.g. from a search engine) and whether they have been here before. We do not use remarketing or targeting tools.

Our contact form uses reCAPTCHA to prevent spam and bot submissions and improve site security.

ReCAPTCHA analyses the user’s IP address, submitted field data and previous interactions with reCAPTCHA, as well as browser information (such as mouse clicks, typing patterns and Google cookies) to determine whether the user is a real person or a “bot”. Only basic aggregated data from reCAPTCHA is shared with Arbor Vitae Arboriculture.

Where your data may be sent or stored

Arbor Vitae Arboriculture employs highly secure business class website and email hosting services on infrastructure provided by In-Tuition; servers are based in the UK or currently being migrated to a UK-based data centre (from Ireland) as at 10th August 2021.

Our email service includes appropriate security and anti-spoofing technology and is accessed via webmail and Mac mail on business devices only. Email backups are encrypted and may be stored in the cloud. Business devices are kept up to date and secure with premium security software, all data storage is encrypted and accessed solely by the director of Arbor Vitae Arboriculture.

The website and email hosting is undergoing migration to Amazon Web Services (UK) in 2021. In-Tuition’s own servers and AWS will run concurrently until the migration is complete. All AWS volumes are encrypted.
The backup systems for our website and email services retain data for a maximum of 45 days.

Data retention and processing

Due to the nature of our business, Arbor Vitae Arboriculture consider it necessary to retain Customer details and enquiry information indefinitely within our secure in-house data storage systems and email account(s). This is to allow us to retrieve previously submitted details in the event of future communications.

This information is considered strictly confidential and will not be shared except as defined within this privacy policy.

Our anonymised Google Analytics data is also retained indefinitely, and used solely for our own marketing and analysis purposes to compare traffic and user behaviour. No personal details are acquired or stored.

WordPress admin, databases and emails may be accessed by service providers when necessary for the security and functionality of business data systems. All information is treated as strictly confidential according to our service agreements.

Arbor Vitae Arboriculture primarily target business users located in the UK. If you are based outside the UK please be aware that our hosting and data storage is, or will soon be, based in the UK.

Data retention and processing referred to in this privacy policy refers to how Arbor Vitae Arboriculture will erase your data from our systems, which may be subject to a further period of encrypted data storage via our service providers and within our backup systems.

Customers and contacts with a ‘legitimate interest’

Arbor Vitae Arboriculture will retain emails and communications from you that may include personal details for the purpose of fulfilling a service for you or request from you, and for maintaining business records. If you are a Customer or have provided consent to do so, Arbor Vitae Arboriculture may contact you on occasion about relevant services of ‘legitimate interest’.

Personal details held about Customers or contacts with a ‘legitimate interest’ may include your name, company name, email address, postal address and telephone numbers as well as transaction information. This information is kept on one encrypted internal hard drive and one encrypted external hard drive. Business communications will be retained for an indefinite period, unless you ask for your data to be deleted.

Tree survey data is kept indefinitely in the case that it is required by courts or insurance companies for litigation purposes.

Transaction data is held indefinitely (or for a minimum of 7 years) in secure online accounts software to maintain necessary business records.

Your details will be treated as strictly confidential and will not be used or shared except where we are obliged for administrative, legal, or security purposes, or as stated in this privacy policy. Your information will never be made public, except where it appears on reports or correspondence that are published in the public domain (for example, local authority planning websites).
